Jeanie Discover Life in America Monthly Report November, 2000 Jeanie Hilten Contacts and Communications - Met with Ruthanne Mitchell and Glenstone Lodge staff concerning arrangements for ATBI annual conference. Ruthanne is volunteering to coordinate exhibits. - Mailed press release for the ATBI conference to 40 media contacts. The release was reviewed by Keith Langdon and Nancy Gray at Park Public Affairs. Nancy provided a list of about 125 publicity and political contacts which are now on our DLIA mailing list. - Continued to coordinate transfer of information from the DLIA web site registrations to our office database with the help of Al Collazos and John Pickering. - Met with Gatlinburg Gateway group (BEV) concerning prospective plans for biodiversity discovery musuem. - Attended Southern Appalachian Man and the Biosphere meeting; distributed ATBI Quarterly there. Science/ATBI - Met with NPS and USGS staff about agenda for the ATBI annual conference. Continued making contacts with presenters and exhibitors. Sent confirmation packet of information to them. As of the end of November we have about 50 people registered to attend. - Waiting on transfer of funds from NPS to Friends bank account then to DLIA bank account to begin reimbursements for various aspects of the Vertebrate Study, year 1. - E-mailed notes to TWIG leaders: Susan Farmer's inventory status web page to review before the conference, descriptions of TWIG leader and member duties, reminder to register for conference, and call for articles for winter ATBI Quarterly. - Selected moths from Tremont's collection for use as a display for DLIA talks, exhibits. - Had ATBI van serviced: oil change, lube, tires rotated, some minor repairs. Housing - Discussed with NPS staff possible 2001 needs for additional housing and how to provide. Something on the NC side of the park? - Scheduled "Deep Cleaning Day" for Cades Cove house: December 4. - Visited Cades Cove and Cosby houses and received scientists' housing check in/check out forms. - Updated housing calendar. Mailed information packages. Sent "person/nights" to the Park. Volunteers - Added new potential volunteers to DLIA mailing list and e-mail. Sent volunteer update letter to 35 persons, including scientists, photographers, artists, teachers, students. - Contacted and visited with Tom Rogers, entomologist who is volunteering to assist with Sorting Center work, mammal trapping for evaluation of parasites, and other projects. - Arranging for volunteer help with the ATBI annual conference-A/V assistance for presenters, exhibits, entertainment, set-up, transportation, etc. - Developing updated "Volunteer Plan" to present at the conference. Financial - Met with Keith Langdon to generate "needs list" and other suggestions for George Ivey of the Friends and others to use with grant applications. - Provided paperwork necessary for lawyer Mark Mamantov to submit IRS tax exempt application for DLIA's non-profit status-financial statements, housing leases, fundraising plans and status, brochures, newsletter, FEIN #. Hope to have the IRS letter in a couple of months. - Wrote checks for phone, electric, office support, housing, tax exempt application fee. - Sent income/expense information to Millstone Accounting and discussed budget with Joyce Guerrera. Monitored bank balance. So far for 2000, $105,000 contributed to DLIA from Friends/NHA. Education - Met with Park, USGS Staff and Harper's Ferry NPS staff person about ATBI exhibit at Sugarlands. There will be about 10 feet of wall space, with depth enough to have TV, maps, computer and/or microscope monitor. Aim is for an engaging, interactive, changeable display. - Contacted Glen Este High School teacher Jon Souders about his students' participation in the ATBI conference. They have been working with Chuck Parker and Paul Super on a caddis fly project. Office/Clerical - Set up spreadsheets for budget and Vertebrate Study funds allocation - Imported records to DLIA mailing list from Park publicity and political contacts. Publicity - Met with Greg Stewart with "Over Your Head Productions" concerning finalizing DLIA/ATBI T shirt design. NHA will pay for this first order of about 100 shirts. - Proceeding with revisions of ATBI brochure. Becky Nichols, Keith Langdon, and Meryl Rose editing the text. - Distributed more ATBI Quarterlies. - Developed Press Release format. Planning and Up-Coming Concerns - With Al Collazos and John Pickering, we will probably revise the way DLIA web registrations are processed, so as to make it easier to obtain updates into our office data base. - Coordination of December meeting: presenters, exhibitors, and logistics. Agenda for Board Meeting December 21. - Annual report? - Direction from the Board for actions on fundraising and grant writing for short and long term activities. - TWIG leader roles. - Volunteer coordination and planning meeting in February or March? - Finalize Strategic Plan and complete all Committee Plans. - Develop 2001 and 2002 budgets. - Planning for 2001 research season needs: housing, volunteers, education, publicity, mini-grants, other funding of scientists and TWIG coordinators, grants and scholarships.
